Who we are
Behind the Shoot is a marketing and branding agency for creator brands. We organise events for photographers, hybrid shooters and creators, and develop marketing concepts for brands in photography, lighting and video. Behind the Shoot is responsible for processing the personal data described in this policy.

What data we collect and why
Contact form
When you send a message through our contact form, we receive your name, company, email address, phone number and message. We use these details to answer your question and, if relevant, to discuss a collaboration. The legal basis is our legitimate interest in responding to requests, or taking steps at your request before entering into an agreement.
Sign-up for photographers, models and make-up and hair artists
When you sign up through our crew form, we receive your name, role, email address, phone number, website and Instagram account. We store these details to contact you when a project or event fits your profile. The legal basis is your consent. You can withdraw your consent at any time by emailing us, after which we delete your details.
Business contacts and relations
We keep contact details of clients, partners, suppliers and other business relations in our CRM system: name, company, role, email address, phone number and the history of our contact. We use them to maintain the relationship, carry out agreements and send relevant information about our events and services. The legal basis is the performance of an agreement or our legitimate interest in maintaining business relationships.
Website visits
When you visit our website, we collect data about your visit with analytics and advertising tools, such as the pages you view, how you use them, your device and browser, and an approximate location. Cookies that are not strictly necessary are only placed after you give consent through our cookie banner. You can change your choice at any time.
Tools and services we use
Webflow
Our website runs on Webflow, which hosts the site and stores the messages sent through our forms.
Google Workspace
We use Google Workspace for email and documents. Messages and documents that contain personal data are stored there.
CRM system
We store contact details of relations and people who sign up as photographer, model or make-up and hair artist in our CRM system.
Claude by Anthropic
We use Claude, an AI assistant by Anthropic, to analyse data and automate tasks. Our account is set up so that our conversations are not used to train AI models, and we only share the personal data needed for a specific task.
Google Analytics 4
With Google Analytics we measure how visitors use our website, so we can improve it. This uses cookies and is only active after your consent.
Google Search Console
Search Console shows us how our website performs in Google search results. It gives us aggregated data about searches and does not place cookies on our website.
Microsoft Clarity
Clarity shows us how visitors use our pages, with heatmaps and recordings of sessions in which input in forms is masked. This uses cookies and is only active after your consent.
Leadinfo
Leadinfo recognises which companies visit our website, based on the IP address of the company network. We use this to follow up on interest from companies. Leadinfo shows company information, not information about individual visitors. It uses cookies and is only active after your consent.
Meta Ads and Adform
We use the Meta pixel and Adform to measure our advertising campaigns and to show relevant ads to people who visited our website, on Facebook, Instagram and other websites. These tools use cookies and are only active after your consent.
Sharing and transfers outside the EU
We do not sell your personal data. We only share data with the services mentioned above, which process it on our behalf or as independent parties under their own privacy policies. Some of these services are based in the United States, such as Google, Meta, Microsoft, Webflow and Anthropic. Transfers to these parties take place under the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.
How long we keep your data
We keep messages from the contact form for up to two years after our last contact, unless they lead to a collaboration. Details of business relations are kept for as long as the relationship lasts and up to two years after. Sign-ups of photographers, models and make-up and hair artists are kept until you withdraw your consent, and we check every two years whether you still want to be in our files. Analytics data is kept according to the shortest retention period that each tool allows. We keep data longer only when the law requires it, for example for our financial records.
Security
We take appropriate technical and organisational measures to protect your data, including secured connections, access only for people who need it and two-step verification on our accounts.
Your rights
You have the right to access, correct or delete your personal data, to restrict or object to its processing, and to receive your data in a portable format. Where we process data based on your consent, you can withdraw it at any time. Email us to use your rights; we respond within one month.
If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
Children
Our events and sign-up forms are intended for people aged 18 and over. We do not knowingly collect data from children under 18.
Changes
We may update this policy when our services or the law change. The date at the top shows when it was last updated.
